Duration: 6 months (paid), with the possibility of conversion to a permanent contract upon successful completion

 

About 3812 Gallery:
3812 Gallery is a leading contemporary Asian art gallery with spaces in London and Hong Kong. The gallery is committed to fostering cultural dialogue through its curatorial programme, representing a dynamic roster of established and emerging artists. We are now expanding our London team and seeking a talented and driven individual to join us as a Operations, registrar and Exhibition Coordinator.

 

Position Overview:
This full-time or part-time, on-site role combines gallery operations, sales coordination, and client services responsibilities. The ideal candidate will have strong organisational skills, a proactive attitude, and a genuine interest in the commercial art world. This internship is designed as a pathway to a permanent role for high-performing candidates.

 

Key Responsibilities:

 

Sales Coordination

- Assist in planning and organising sales activities

- Assist in preparing artwork offers, invoices, and follow-up communications with collectors and clients

- Support and manage client communications, with a focus on building and maintaining an effective CRM system

- Maintain and update client and contact databases (Artlogic/CRM), ensuring accurate and up-to-date records

- Prepare and update sales materials including price lists, artist bios, and presentation decks

- Coordinate artwork deliveries to clients, including scheduling with shippers and ensuring timely and safe arrivals

- Support gallery exhibitions, client viewings, and art fairs as needed

 

Operation and Inventory Management 

- Maintain accurate inventory records using Artlogic, including updates on artwork locations and status

- Coordinate with artists on artwork sales activities and ensure smooth communication

- Ensure projects remain on schedule and oversee production timelines

- Support consignment documentation, loan agreements, and gallery archiving

- Assist with condition reporting and documentation of artworks before, during, and after exhibitions

- Coordinate with artists, shippers, framers, and installers to ensure smooth exhibition delivery

- Support the team during installation and deinstallation, ensuring artworks are placed correctly and safely

 

Candidate Profile:

- Currently studying or holding a degree in Art History, Fine Arts, Business, or a related field

- Previous experience in a commercial gallery, auction house, or client-facing role is a strong advantage

- A confident communicator with strong interpersonal and organisational skills

- Strong attention to detail and ability to manage multiple tasks simultaneously

- Proficient in MS Office (Excel, Word, PowerPoint). Knowledge of Artlogic or similar CRM is a plus

- Fluency in English and Cantonese or Mandarin (written and spoken)

- Proactive, can-do attitude; calm under deadline pressure; willingness to learn

- Knowledge of Artlogic, Excel, and Adobe Suite is an advantage
