Gallery Manager – Para Site

We are hiring a full-time Gallery Manager!

This is an exciting time to join our team as full-time Gallery Manager as the institution undergoes an exciting new chapter of its development. With this hands-on role, you will manage and seek continuous improvements to the day–to–day operational, financial, administrative, and buildings and facilities management of Para Site to fulfill our strategic goals. Working closely with the Deputy Director, the Gallery Manager holds a vital and important role within the organization, enabling Para Site to provide support to artists projects and enabling access to the arts for a wide variety of audiences and participants.

Para Site is internationally recognized as Hong Kong’s leading contemporary art space and one of the oldest and most active independent art centers in Asia. Throughout the years, Para Site has engaged in a wide array of activities and collaborations with world-renowned artists, curators, art institutions, museums, and academic structures in Hong Kong and internationally.

Responsibilities:

  • Day-to-day office, technical, and facility management of Para Site
  • Manage budget for office consumables, maintenance, IT, travel, and governance
  • Ensuring timely and accurate completion of all financial processes including but not limited to ensuring all receipts and invoices are correctly filed; management of expenses; supporting production of quarterly management accounts; insurance policies; general financial administration and banking
  • Keep up to date with best practices and technical / system developments in the non-profit sector to improve efficiency and development
  • Implement and manage departmental archiving and file management policies
  • Oversee monthly payroll process through management of in-house system
  • Bookkeeping Para Site finances and acting as liaison with a contracted accountant
  • Liaise with Executive Director and Deputy Director to support external auditors on annual auditing
  • Provide support to curators on organisational initiatives / projects programming, residencies, venue booking, travel arrangements, and archiving
  • Line manage Gallery Co-ordinator to maintain upkeep and maintenance of the Gallery, Office, and Storage Spaces associated with Para Site. Support the Gallery Co-ordinator’s professional development.
  • Human Resources for the organization

The ideal candidate should have:

  • At least two years working in a similar role or demonstrable transferable experience
  • Meticulous organizational skills, including experience of implementing and improving administrative systems
  • Good accounting skills and experience
  • Strong system development skills and experience
  • Working as a part of a small team, you will need to have a flexible all-hands-on-deck approach, while maintaining staff structure boundaries and responsibilities
  • Excellent numerical skills and experience in managing project budgets, databases and excel spreadsheets
  • The ability to forge mutually respectful and effective working relationships with a wide group of personalities, including artists, trustees, patrons, staff, interns, collaborators, and vendors
  • Ability to problem solve, prioritise and plan strategically
  • Excellent time management, planning, and coordination skills
  • Strong computer skills, with proficiency in software including Microsoft Excel (intermediate and above), Word, PowerPoint, Apple iOS, and Google Suite
  • Ability to manage both familiar and unfamiliar technologies with confidence and liaise with external IT support

Desirable Experience, Skills, and Attributes

  • Experience working in a museum, gallery, cultural, or voluntary sector organisations
  • An understanding of and affinity with the mission, vision, and work of Para Site
  • Financial administration experience/qualifications
  • High proficiency in spoken and written Chinese and English

Working hours:

5 full days a week, Monday–Friday, 11am–7pm, and additional events on weekday evenings and weekends, as necessary
