Executive Assistant to the Managing Director | Ben Brown Fine Arts

Ben Brown Fine Arts is looking for a dynamic, highly organized, and self-motivated candidate to fill the role of Executive Assistant to the Managing Director. This is a key position within the gallery and the role spans a wide range of responsibilities, from administrative tasks to work on larger projects, such as exhibition planning and art fair logistics. The Executive Assistant to the Managing Director will become deeply familiar with a selection of the gallery artists’ work and will gain an understanding of the history of the gallery, as well as its latest projects. The ideal candidate will have a strong interest in contemporary art, excellent organizational, writing, and technical skills, a positive attitude, and a strong attention to detail, all while working in a fast-paced environment and prioritizing multiple projects.

KEY TASKS AND RESPONSIBILITIES

  • Provide support to Managing Director by managing travel, viewing and appointment calendars
  • Assist with sales by drafting packages for clients and curators and tracking reserves and sales
  • Act as liaison for artists in all activities, e.g. planning internal and external exhibition
  • Maintain a clear schedule of artists’ outside exhibitions, presentations and lectures
  • Work with the Managing Director to prepare invite lists for openings, dinners, and events
  • Research and prepare materials on artists and their work for staff, clients, and public
  • Regularly update and maintain exhibition/literature history for gallery artists
  • Collaborate with the gallery’s registrars to orchestrate and document consignments and loans
  • Assist with art fair presentations, communicating with gallery staff and artists to meet deadlines for applications, booth design, and shipping of works
  • Coordinate between museums and other institutions with interests in gallery artists
  • Assist with the curation and programming of solo and group shows and fairs
  • Work with Director on new artist development, conducting research and brainstorming shows
  • Develop an understanding of the gallery’s profile and priorities to inform recommendations
  • Cooperate with registrars and archives department to make sure works are properly inventoried, documented, conditioned, and updated on internal system and on the website
  • Communicate clearly across all departments on the specifications of timing, production, shipping, etc.
  • Liaise with Hong Kong and London colleagues

QUALIFICATIONS

  • Bachelor’s degree, required
  • Demonstrated interest in and knowledge of contemporary art
  • Excellent written and verbal communication skills
  • Ability to prioritize and accommodate competing deadlines
  • Eagerness to take initiative and responsibility
  • Team player

Compensation is commensurate with experience. All other terms negotiable. Position hours are Tuesday-Saturday, 11am to 7pm. Candidate will occasionally need to work additional hours.
