Para Site Annual Fundraising Auction 2022

We are looking for highly motivated Event Assistants to provide essential support for our upcoming Gala Fundraising Auction from 1-24 November. Each year, Para Site hosts a Gala Fundraising Auction with generous support from artists, galleries, supporters, and friends from all over the world. The main platform for achieving our fundraising goals is the annual benefit auction, and the successful candidate will have the opportunity to make a genuine difference to help us maintain the continuation and development of our world-leading programme. This year the annual Para Site Fundraising Gala will take place on Wednesday, 23 November 2022 at St. Regis and the Auction preview will be on view a week prior from 16 to 21 November at Soho House. Successful candidates will have the opportunity to acquire crucial work skills and first hand experience to better understand how a successful fundraising event is managed and organised.

The role and responsibilities of the event assistants include:

Applicants should be excellent communicators, organised, resourceful, comfortable working with a team, and skilled at multitasking.

(1) Pre-Auction Preview/Gala (preparation, 1–9 Nov)
– Attend briefing sessions on protocols, onsite expectations and an introduction to Para Site
– Provide administrative support for the preparation of the events, working closely with the PS team on sourcing materials for decoration and set up, preparing event documents, liaising with vendors and engaging with other ad-hoc duties

(2) Auction Preview (installation & transportation of show, 10–16, 22 Nov)
– Assist in condition check of artworks
– Provide logistical support during the setup of the event

(3) Auction Preview (During Show Hours, 16–21 Nov)
– Assist with on-site support during the opening hours such as opening and/or closing the preview presentation, artwork maintenance, escorting VIP guests, handling visitor enquiries, etc.
– Meet and greet visitors, direct visitor enquiries to the PS team
– Provide other administrative and operational support at Soho House with other duties as assigned

(4) Live Auction and Gala (23rd Nov)
– Assist in event organisation such as venue decoration, set up, and closure, registration, and guest check-in at reception
– Fielding guest enquiries and other ad hoc duties
– Provide support with capturing bidder information and tracking bidding results during the live auction

Live Auction and Gala:

Set up until 5pm
Auction Preview 6–7pm
Dinner Begins 7pm
Live Auction begins 8pm
Event Ends 11:30pm
Deinstallation of Artwork Begins 11:30pm

Requirements

– Fluent in English, Cantonese and/or Mandarin (preferred but not mandatory)
– Outgoing, presentable, personable, and proactive
– Good interpersonal, organizational skills, and sense of self-initiative
– Experience in fast-paced environment or working with exhibitions or events is preferable
– Approximately 80–100 hours over the course of the period 1–24 Nov (10–12 working days), including briefing sessions, preparation work before and/or during the preview exhibition period and the gala. The exact days and hours will be allocated according to candidates’ availability, but availability on both 22 and 23 November is essential.
